Introduction: Why Convert from PDF to Numbers?

The most compelling reason to convert a PDF to an Apple Numbers file is so that you can edit your data. While PDFs preserve information in a fixed structure, Numbers offers the flexibility to manipulate, visualise and analyse data effectively.

1. Something’s gone wrong in the conversion process. What should I do?

Firstly, check the PDF – it’s likely the file is at fault. Then, consider whether the following apply:

  • Is the file corrupted? Try opening it to see if you get an error message.
  • Is the PDF password-protected? If so, download a copy that isn’t. (Here are the instructions for how to do so).
  • Is it too long? Some free PDF software, e.g. ChatGPT, caps how long the file can be – meaning that very long PDFs (e.g. 100+ pages) can’t be uploaded properly.
  • Is it blurry? As aforementioned, powerful, specialised technology can validate Numbers data. Free or poorly calibrated Numbers-to-PDF converters may struggle to ‘read’ the PDF, introducing small mistakes into the dataset. If the data itself isn’t accurately extracted, check the quality of the PDF. If it’s blurry, consider using a specialised solution. 

If the PDF isn’t locked, corrupted or too long, you could try refreshing or restarting the technology and trying again. If that fails, try using an alternate PDF-to-Numbers tool.

2. Can I use ChatGPT to convert an Excel into a PDF?

You can – with a caveat. If you upload a PDF, ChatGPT will extract the data and output it in the CSV format (use a prompt like ‘Extract the data and format as a CSV’). You can open a CSV in Numbers, but there may be issues with the formatting.

3. What if I want to convert an Excel file into a PDF?

It will be more straightforward to complete the same process in reverse. Simply open the Numbers application and go to File < Export To < PDF. The PDF will be automatically downloaded to your computer. To convert Excel to PDF in bulk, you could use a PDF -> Excel tool like Zamzar to automate the process.
